Privacy Policy

This policy explains what information TBEagent (operated by InstruNexus, "we") collects when you use the service, why, and the choices you have.

Information we collect

• Account information — company name, user names, business email addresses, phone number and country given at sign-up or added by your administrator.
• Project content — the documents you upload (specifications, material requisitions, datasheets, vendor offers and replies, approved vendor lists) and everything created from them: evaluation sheets, technical and commercial queries, deviations, reports and comments.
• Usage and audit records — sign-ins, actions in the application (the audit log), AI usage (activity, tokens and cost) and technical logs needed to run and secure the service.
• Payment information — payments are made through Razorpay (in Indian rupees or US dollars). We receive the payment reference, amount and status; we never see or store your card, bank or UPI details.

How we use it

• To provide the service: process your documents, run the evaluation tools you start, and keep your company's records.
• To bill your subscription, add-ons and AI credits, and to send account, security and billing e-mails.
• To support you, keep the service secure and fix problems.

We do not sell your information and do not use your project documents to train AI models.

AI processing

When a project or evaluation is set to AI-assisted, the relevant document text is sent to the AI provider in use (Anthropic Claude or Google Gemini) to produce the result, under that provider's commercial API terms, which do not allow your data to be used for model training. A company can use its own API key, or set any evaluation to Manual, in which case no content is sent to an AI provider.

Who can see your data

Your project content is visible only to users of your company, according to the roles and teams your administrator sets. Our support staff access it only when you ask for help or when needed to keep the service running. We use hosting, e-mail and payment providers who process data on our behalf under confidentiality obligations.

Storage, security and retention

• Data is stored on secured servers; access is protected by passwords, roles and an audit log of every change.
• Deleted items stay in your company's Recycle Bin for 30 days and are then removed permanently.
• When a subscription ends, your data is kept for 30 days so you can renew or export it, then deleted on request or after that period, except records we must keep by law (such as invoices).

Cookies

We use only the cookies needed to keep you signed in and to protect forms. We do not use advertising or tracking cookies.

Your rights

You can ask to see, correct, export or delete your personal information. Your company administrator can manage users and data in the application; for anything else, write to contact@tbeagent-ai.com.

Changes

We will post any change to this policy on this page and, for material changes, notify company administrators by e-mail.
