AI-Powered Technical & Commercial Bid Evaluation Every discipline. Every clause. Checked before you sign off.

TBEagent reads your specifications, MRs and vendor offers side by side — for instrumentation, electrical, mechanical, piping, HVAC and complete packages — flags every gap, drafts the query with its source, and tracks it to closure, from technical bid evaluation through inter-discipline check, commercial evaluation and procurement.

Every AI draft waits for an engineer’s ✓ — nothing is signed off unseen.

Indicative figures from typical bid evaluations; actual savings depend on the package, the number of bidders and your own process.

The Problem

Manual bid evaluation doesn't scale with your document count.

A compressor package offer of 600 pages — mechanical, electrical and instrumentation — checked by three engineers in three spreadsheets, clause by clause.

Technical queries, deviations and inter-discipline comments tracked across e-mail threads, with no single record of what is still open — or who closed it.

One clause missed at bid stage becomes a change order after fabrication has already started.

The AI Architecture

Grounded in your documents, not open-book.

Ask a general-purpose chatbot to check a valve rating and it will answer confidently — whether or not it actually knows the spec. On a bid package, a confident wrong answer is worse than no answer.

TBEagent doesn't work that way. Every document you upload is read page by page — scanned pages and drawings included — and full-text indexed. When the AI drafts Technical Queries it reads your EPC specification, MR and the vendor's own offer side by side, splitting large documents section by section so no clause is skipped. When it fills the TBE sheet or the Tag List, it first retrieves the passages that match each item — retrieval-augmented generation, or RAG — and works only from those. Either way the model is grounded in your paperwork, not its training data.

Not in the documents, not in the answer. If the vendor's offer doesn't address a requirement, it is marked "Not stated" and raised as a query — a missing datasheet reads as a gap, not as silence. And every reference is a link: one click opens the document at the cited page, so the engineer checks it in seconds.

01
Read & Indexed

Every page is read — text, scans and drawings — and full-text indexed at upload time.

02
Read in Full, or Retrieved

TQ reviews read the documents themselves; sheet and Tag List fills pull only the passages that match.

03
Referenced for Checking

Each query and TBE-sheet value carries its document and page — one click opens the PDF there.

From the first document to the purchase order.

TBEagent covers the whole bid evaluation — technical, inter-discipline and commercial — and shows its work: every value and every query traces back to a page.

Evaluate
01

Every Document, Read AI

Specifications, MRs, datasheets, drawings and vendor offers — PDF, Word, Excel and scans — read page by page and indexed. Hand mark-ups and vendor comments are picked up too.

02

TBE Sheet, Filled With Sources AI

Project requirements and each bidder's offered value side by side, row by row, every value linked to the page it came from. Compliant, deviating or not stated — at a glance.

03

Every TQ Traceable AI

Technical queries drafted with the requirement, the vendor's wording and the page — then reviewed, approved, issued, answered, re-raised or closed in numbered rounds. Nothing is lost between rounds.

04

AI Chat With Your Documents AI

Ask "what IP rating did bidder 2 offer for the MCC?" and get the answer with the page it came from — only from your project's own documents.

05

Vendor Deviation Management AI

The deviations and clarifications each vendor declared, in their exact wording and number, kept apart from the TQs — with a clear "no deviations listed" where that is the case.

06

Tag Lists & Equipment Lists AI

Per-tag and per-equipment checks — ranges, ratings, materials, certifications — compared across bidders and raised as queries when they do not match.

Collaborate & Decide
07

Multi-Discipline Packages

One package TBE for a compressor, pump or power skid: each section judged by the right discipline, every TQ tagged to its discipline and reviewer.

08

Inter-Discipline Check (IDC) Add-on

Send the TBE for review by Process, Piping, Electrical, Mechanical, HSE… Numbered IDC rounds, comments per row, TQ or deviation, responses and close-out — with an audit trail. Send technical queries to the other disciplines to approve, give input or object — before they go to the vendor.

09

Approved Vendor List Checking Add-on

Named approved vendor lists read from the client's AVL. Apply one to a project and every bidder not on it is flagged before you start evaluating.

10

Commercial Bid Evaluation (CBE) Add-on

The commercial side next to each TBE: price and terms comparison, commercial queries and a CBE report — with standard CBE templates for every TBE template.

11

Procurement Status

From MR and enquiry through TBE, CBE, recommendation and PO — one status board across every package of the project.

12

Standard Templates

256 standard TBE and CBE templates across disciplines — transmitters to transformers, pumps to packages — ready to use or copy and adapt to your company standard.

Control & Trust
13

Reports & Final Package AI

TBE and CBE reports, TQ registers, the bid tabulation and the document set in one package, in your company's format, ready for sign-off. The report on screen, in PDF and in Word has the same A3-landscape pages as the Excel — frame and title block on every page.

14

Audit-Ready, End to End

Every upload, edit, query, approval and export is logged with who and when. Undo, a recycle bin and review-comment sheets keep every change accountable.

15

AI Under Your Control

AI-assisted or Manual for each evaluation, an estimate before every run, and every AI draft waits for an engineer’s ✓. Bring your own Claude or Gemini key and AI runs are unlimited — no credits to count.

Track, Trace & Close Out
16

Project Assistant AI

Ask in plain words: where does every evaluation stand, what is the bottleneck, who is waiting on whom, what is the next step? It reads your live project data — and a ranked bottleneck list works even without AI.

17

Dashboards & Delay Analysis

Your projects with progress, what needs attention, where you left off, targets and team activity — then where each stage lost time and which party held it: EPC team, vendors, disciplines or client.

18

MDR Schedule Add-on

A master deliverable register for the project’s TBEs and CBEs: the AI drafts it from your project schedule, actuals fill in from real activity, and you see baseline vs forecast, RAG, S-curve, Gantt and look-ahead.

19

Evidence One Click Away

Click any reference and the vendor document opens at the cited page with the quoted words highlighted. Click a TQ number anywhere and a quick-look pop-up shows the query, the offer, the thread and the linked deviations.

20

Nothing Left Hanging

Every deviation open point is traced to the TQ that carries it. Accepted deviations go to the client with the TBE and close — or reopen — on the client’s decision. A quick ✓ approves an AI draft; the last TQ round or client issue can be revoked.

21

Easy From Day One

A guided tour for every new user and for each page, light and dark themes, “Report an issue” from any screen, and an illustrated User Guide that is kept up to date.

Decide Beyond the Sheet
22

Price Comparison AI CBE

Every line item of every priced offer side by side — unit price and amount, with the page it came from. Foreign-currency bids are converted at one exchange rate you set and compared in rupees; tax, discount, extra charges and loading are applied, and the bidders are ranked.

23

Bid Scoring & Cost of Compliance

Section weights, points per verdict and knock-out rows give a ranking with a sensitivity check; the price to fix each deviation or exclusion puts every bidder on the same technical basis.

24

Deviations, Closed With the Client

Accept a deviation, mark it not accepted, or raise a TQ. Accepted deviations go to the client with the TBE; the client agrees or disagrees and the sheet follows. Bulk actions and source references throughout.

25

Exclusions, Terms & Certificates

Exclusions, assumptions, validity, delivery, warranty and payment terms per bidder in one list, plus the ATEX, IECEx, SIL and calibration certificates — expired or wrong-scope ones flagged.

26

Bid Clock & Design Changes

Bid validity per bidder with a warning before it lapses, reply due dates and the client turnaround clock. MR or datasheet revisions are logged with every row, TQ and bidder they touch.

27

Meetings & the Purchase Exhibit

Clarification-meeting minutes linked to the TQs and deviations they settle, then a technical exhibit — accepted deviations, conditions, open items — carried forward to the purchase order and kick-off.

Teamwork, Governance & Integration
28

TQs to Other Disciplines

Send technical queries to other disciplines for input — no IDC round needed — to approve, comment or object before they go to the vendor. The AI suggests the discipline; you can change it, or select all.

29

Transmittals, Change Log & Report Attachments

A numbered transmittal with every client or IDC issue, a Change Log sheet in every report revision, and the attachments you choose appended to the TBE report.

30

Sign-off, Approval Workflows & Deadlines

Issue checklists, multi-step sign-off with delegation, reply and approval deadlines with reminders and escalation — and a clear “what is next” on every page.

31

Lessons Learnt & Risk Registers AI

The key lessons and risks of every TBE per discipline, drafted by AI and rolled up per project and company. Plus a vendor scorecard, resource planning and a portfolio dashboard.

32

API, Webhooks, SSO & Portal

A read-only REST API and webhooks for your ERP or SAP, Teams / Slack notifications and a calendar feed, single sign-on with Microsoft or Google, and a private client / vendor portal.

33

Advanced Audit & Data Export

Filtered audit-log search, CSV / Excel export, retention rules, scheduled exports by e-mail and a full export of your company data — your records stay yours.

Before You Ask

Questions every review team asks.

Does it only work for instrumentation?

No. Each evaluation has a discipline — instrumentation, electrical, rotating or static mechanical, piping, civil, HVAC, telecom, process or a multi-discipline package — and the AI applies that discipline’s checks and standards. Standard templates cover all of them.

Is there a limit on how many TBEs or CBEs I can create?

No. Every plan includes unlimited TBEs and CBEs; the plans differ in users, projects, disciplines and the monthly AI credits of the app’s own AI. If you use your own Claude or Gemini key, AI runs are unlimited as well — nothing is counted against credits — and the plan is cheaper. Manual mode never uses AI at all.

How do AI credits work?

Each plan includes AI credits every month. Every AI action shows an estimate before it runs, and administrators see the balance. When credits run out, AI pauses until next month or a top-up — Manual mode keeps working, and companies using their own API key have no AI limit.

What happens after I pay?

Your company account is created immediately and the administrator’s user name and password are e-mailed to you. Sign in, add your team, choose your templates and start your first evaluation.

Can I cancel or get a refund?

Plans are paid per period and do not renew automatically — you can cancel any time and keep access until the period ends. First purchases can be refunded within 7 days; see the Refund & Return Policy for details.

Does this replace my Reviewer or Approver?

No. AI drafts, humans decide. Every Technical Query needs Reviewer sign-off before it's sent, and Approver sign-off closes it. The AI's job is to make sure nothing gets missed before it reaches them — not to make the call itself.

What happens to a query the AI got wrong?

A Reviewer can edit or reject any AI-drafted query before it goes out. Every draft cites its source clause specifically, so an incorrect read is easy to catch and correct — not buried in a black box.

Will it auto-continue a revision round without us?

Never. A follow-up round only starts when your team explicitly triggers it. The AI proposes; it doesn't proceed on its own — see the Workflow above.

Where does our data live?

On our secured cloud, or — for firms whose contracts require it — a dedicated server or fully on-premise. Your documents are visible only to your company's users, and are never used to train AI models. See the Privacy Policy.

Can it handle a 300-page vendor offer?

Yes — documents are processed page by page in the background, so size isn't a bottleneck the way it is for a human reviewer working through it line by line.

Does the AI need custom training on our spec formats?

No. It reads your EPC spec and vendor offer directly at evaluation time and reasons only from what's in front of it — that's retrieval-augmented generation, not a trained model. Switching sectors or spec formats doesn't require retraining anything.

Deployment

Deploy where your data policy requires.
